Mahoning County Commissioners Meeting Room AV System

The Mahoning County Commissioners recognized the need for a modernized meeting room AV system that could enable them to conduct video conferences, stream public monthly Commissioners Meetings, and capture all audio in the room, including from audience members. With a desire for a system that could integrate with their existing phone server, presenters could share their screen wirelessly, and support multiple displays, they turned to our team of AV experts at Systems Integration by Forty Two to create a solution.

Initially, we proposed a solution that included annotation and individual screens at each seat. However, after a second meeting in the room, we made requested changes to simplify the installation and reduce costs.

This resulted in a revised design that included a network-based video switching and distribution system that used a POE Network switch to power and connect all components. The system was configured with VLAN isolation and all video transmission was over IP, with encrypted video transport.

The final system included a dual-screen video conferencing PC running custom Zoom or MS Teams software, a multi-camera PTZ auto-locating and tracking camera system, and a digital audio processor with automatic echo cancelation, automatic gain control, noise reduction, and Dante digital audio. Additionally, there was a table-mounted mute button with LED mute indication, a ceiling-mounted multi-mic array with steerable coverage for council and audience pickup, and ceiling speakers and amp for local sound reinforcement.

The system also included a 10” touchscreen for room control on the table, an “On-Air” light sign to indicate when the room is streaming, and a set of dual 75” displays (two total), one on the wall opposite the council members’ desk, and the other on the side wall.

With the new system, the Mahoning County Commissioners now have an embedded technology meeting room that allows them to conduct video conferences and online streaming with ease, all while ensuring clear audio with automatic echo cancelation. The system is also capable of wireless connection to conferencing systems for the presentation of content from mobile devices and laptops, and remote system monitoring and troubleshooting is included for the first year.
